Is there a free trial?+
Yes — 14 days on every plan. We ask for a card at checkout so your workspace keeps working when the trial ends; you're charged then unless you cancel first from Billing. We email you 3 days before the trial ends.
Is my clients' data secure?+
Each firm's data lives in its own isolated space, enforced by the database itself (row-level security), not just by the app. Access is role-based, every change is recorded in an audit log, two-factor sign-in (an authenticator app) is required for every user — as the FTC Safeguards Rule expects for tax preparers — and data is encrypted in transit and at rest by our hosting providers.
Is two-factor sign-in required?+
Yes — for every user, from the first sign-in. Everyone uses an authenticator app (no SMS) and gets single-use recovery codes. If someone loses their phone, the firm owner can reset their two-factor; owners can contact support.
Does AI touch my client data?+
No. AI features are switched off. No client or firm data is sent to any AI provider until your firm has signed a data agreement that covers it. When AI features arrive, every suggestion will be clearly labeled as AI-generated and a CPA will still review and approve everything.
Does the app file returns or send anything to my clients?+
Never on its own. CPA Practice Hub organizes, drafts, and tracks. A licensed CPA at your firm reviews and signs all client-facing work, and nothing is filed, sent, or posted without a person approving it — including document reminders, which the app drafts and your team approves one by one.
How do my clients send documents?+
Through your branded client portal (with two-factor sign-in) or a one-time upload-only link for clients who don't want an account. Files go straight to encrypted storage, are checked by their real contents, and every download is logged. Uploaded files are checked for macros and risky content, and your staff can preview them safely in the browser.
How do I know what to ask each client for?+
Clients answer a short questionnaire, and you approve what to request. Their answers suggest documents by simple, fixed rules (for example, “sold stocks” suggests a brokerage 1099-B). Nothing is added to a client's list until someone on your team accepts it.
What counts as a seat?+
Every active person with a login in your firm, including read-only users. Your clients' portal accounts never count as seats. You can add seats any time from Billing; your invoice is prorated.
What happens if a payment fails?+
You keep full access for a 7-day grace period while you update your card, with a reminder banner for the owner. After that, the workspace becomes read-only until the payment goes through. Nothing is deleted.
Can I cancel and take my data with me?+
Yes. Export all your data and files at any time: the owner can download the data as CSV files right away, or everything — including every uploaded file — as a set of ZIP downloads with a checklist of what's inside. Cancel from Billing whenever you like; after the subscription ends, the workspace stays read-only for 30 days so you can still export.
